An exciting opportunity has arisen as Ward Secretary to provide an administrative support service for a Ward Manager and clinical team within Medicine for Older People, Division B at University Hospital of Southampton.

We are looking for a dynamic and enthusiastic person with a mature, responsible and flexible outlook to join our busy department. The successful candidate will have a professional, caring and courteous manner, a high standard of attention to detail, computer skills and a thorough understanding of good customer service. He/she will enjoy working as part of a varied multidisciplinary team and meeting new people as well as being confident to work alone in the office and using their initiative.

An RSA2 or Business Administration qualification (or equivalent) is essential.

You will need to be competent in using Word, Excel and Internet packages and have good interpersonal skills.

The successful applicant will provide secretarial support and carry out administration tasks for Ward Manager and clinical team.

Key elements of the role are:

* Preparation and submission of weekly workforce returns
* Management of confidential HR files for allocated areas
* Maintenance of the electronic HR systems including e-Rostering and ESR
* Monitoring absence returns
* Administration of departmental training records
* Close liaison with Senior Sister and team
* Any other general administration duties

*Support team with cover if required

The ability to work alone and as part of a team, manage workload with accuracy and attention to detail are essential for this role. The right person should be conscientious, adaptable and able to work under pressure producing work to fit within set time frames.

 Required working hrs/days are

18.75hrs per week split between Monday, Wednesday and Friday.

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
